    The British Association for Shooting & Conservation (BASC) work with PIN to deliver high end‑to‑end direct mail services.

    The Client:

    The British Association for Shooting and Conservation (BASC) is the UK’s largest shooting and countryside organisation, representing a large and geographically dispersed membership. BASC operates as both a membership body and an advocacy organisation, requiring regular, high‑quality member communications alongside constitutionally governed election processes.

    PIN has been delivering end‑to‑end direct mail services for BASC since 2019. The contract includes fulfilment and mail of a bi-monthly membership magazine sent to the organisation’s full membership, alongside the secure production and mailing of election materials during Council election and AGM periods.

    The contract is characterised by high volumes, mixed materials, complex scheduling, and multiple data sources, all delivered to strict, non‑negotiable governance deadlines.

    The Project/Challenge:

    Prior to PIN’s appointment, BASC’s direct mail campaigns were delivered using a fragmented supplier model. Magazine printing, wrapping, inserts, fulfilment and postal delivery were handled by multiple third‑party suppliers. During election periods, this complexity increased further, with ballot papers and voting guidance needing to be inserted into live membership mailings.

    Key challenges included:

    • Complex pack configurations combining magazines, inserts, ballot papers and voting instructions
    • Tight, immovable election and AGM deadlines governed by constitutional requirements
    • Multiple data sources, including live membership databases and election‑specific voter lists
    • Increased operational risk due to reliance on several suppliers working to a single critical schedule
    • Heightened governance and reputational risk if election materials were delayed, inaccurate or mis‑handled

    During Council elections, ballot materials had to be securely produced and accurately inserted into the correct member mail packs, often within compressed timeframes. Any failure in the process risked undermining member confidence and the integrity of the election.

    Solution:

    PIN designed and implemented a fully managed direct mail solution, consolidating all print, pack and mail activity under a single delivery partner with full accountability.

    PIN assumed responsibility for:

    • Supplying and printing variable inserts
    • Managing wrapping, fulfilment and postal distribution
    • Producing and inserting secure ballot papers and election materials during voting periods

    All activity was planned and delivered against a single, integrated production schedule, removing dependency risks between suppliers and ensuring full visibility across the entire direct mail process.

    The direct mail packs vary depending on campaign requirements and election cycles and can include:

    • High‑quality full‑colour magazines
    • Multiple printed inserts
    • Secure ballot papers
    • Voting instructions and governance documents

    PIN manages these mixed-material mailings through controlled pack set‑ups and robust quality assurance processes, ensuring each member receives the correct combination of materials.

    The campaigns rely on multiple complex data sources, including:

    • BASC’s live membership database
    • Suppressed or segmented member lists
    • Election‑specific voter eligibility files

    PIN manages data intake, validation and processing to ensure accuracy, confidentiality and compliance.

    Sustainability and Innovation

    As part of the contract, PIN introduced an eco friendly, four colour recyclable paper wrap to replace the existing plastic wrapping. This supported BASC’s sustainability objectives while also enhancing creative flexibility and member engagement through improved visual presentation.

    Results

    Since the implementation of PIN’s solution, BASC has seen significant operational, governance and strategic benefits.

    Improved Delivery Certainty: By consolidating all direct mail fulfilment activity with a single partner, BASC has eliminated scheduling conflicts and reduced dependency risk. PIN delivers consistently against fixed publication, election and AGM timetables.

    Reduced Governance and Reputational Risk: Secure handling of election materials, combined with controlled data management and pack assembly, has significantly reduced governance risk. Council elections are delivered with confidence, accuracy and full auditability.

    Enhanced Member Experience: Members experience a consistent, high‑quality direct mail pack, with improved presentation and sustainability credentials through the use of recyclable paper wrapping and creative artwork.

    Proven Long‑Term Performance: PIN has successfully delivered this complex direct mail service since 2019, with the contract continuing to the present day. The longevity of the relationship demonstrates PIN’s ability to reliably manage high‑volume, mixed‑material direct mail campaigns using complex data sources over multiple years.
