The Client:
The British Association for Shooting and Conservation (BASC) is the UK’s largest shooting and countryside organisation, representing a large and geographically dispersed membership. BASC operates as both a membership body and an advocacy organisation, requiring regular, high‑quality member communications alongside constitutionally governed election processes.
PIN has been delivering end‑to‑end direct mail services for BASC since 2019. The contract includes fulfilment and mail of a bi-monthly membership magazine sent to the organisation’s full membership, alongside the secure production and mailing of election materials during Council election and AGM periods.
The contract is characterised by high volumes, mixed materials, complex scheduling, and multiple data sources, all delivered to strict, non‑negotiable governance deadlines.
The Project/Challenge:
Prior to PIN’s appointment, BASC’s direct mail campaigns were delivered using a fragmented supplier model. Magazine printing, wrapping, inserts, fulfilment and postal delivery were handled by multiple third‑party suppliers. During election periods, this complexity increased further, with ballot papers and voting guidance needing to be inserted into live membership mailings.
Key challenges included:
- Complex pack configurations combining magazines, inserts, ballot papers and voting instructions
- Tight, immovable election and AGM deadlines governed by constitutional requirements
- Multiple data sources, including live membership databases and election‑specific voter lists

During Council elections, ballot materials had to be securely produced and accurately inserted into the correct member mail packs, often within compressed timeframes. Any failure in the process risked undermining member confidence and the integrity of the election.

As part of the contract, PIN introduced an eco friendly, four colour recyclable paper wrap to replace the existing plastic wrapping. This supported BASC’s sustainability objectives while also enhancing creative flexibility and member engagement through improved visual presentation.
