Cornish Mutual Engage PIN Communications to handle AGM proxy voting with a provision for a tailored AGM proxy solution to accommodate client requirements.
The Client:
Cornish Mutual is a company based in the Southwest of England specialising in Insurance, Health and Safety, Loss Prevention and Soil Consultancy in the Agricultural sector. Being a member led organisation they strive not only to offer a wide range of benefits to their members, such as, exclusive access to discounts on everyday essentials; to championing local food retailers and sponsoring young farmer bursaries.
The Project/Challenge:
Cornish Mutual appointed PIN Communications to manage the proxy voting process for their Annual General Meeting (AGM). The project involved coordinating a multi-channel election for over 20,000 eligible voting members. Having supported Cornish Mutual’s AGM services for several years, PIN Communications worked closely with key stakeholders to deliver a voting system that was both familiar and user-friendly, while incorporating bespoke features to meet the client’s evolving needs. Members were invited to vote on several ordinary resolutions, including the election of new directors.
Solution:
PIN Communications collaborated with Cornish Mutual to refine and enhance their existing ballot pack and email communications—building on a trusted foundation to increase member engagement and voting participation.
A dedicated online voting platform was developed, fully branded to reflect Cornish Mutual’s identity. Each member received a unique security code, granting secure access to the platform. Once logged in, members could either use a streamlined “quick vote” feature or appoint a proxy and vote on each resolution individually. The platform also enabled members to submit questions to the board ahead of the AGM.
To support live voting on the day of the AGM, PIN Communications provided a marked register, allowing the registration team to easily identify members who had already cast their votes.

Results
Cornish Mutual reported high levels of member engagement following the close of proxy voting. The multi-channel communication strategy proved effective, with the online voting platform accounting for the majority of votes cast.
